2025 Data Privacy Policy 

 

Our Commitment to Privacy 

At Congregations for Kids (CFK), we are committed to protecting the personal information of everyone we serve and engage with — including donors, volunteers, mentors, foster families, and community partners. Because our mission involves children in foster care, we apply extra safeguards when handling any child or family information. 

 

Information We Collect 

We collect information to help us serve, connect, and communicate effectively. This may include: 

  • Donors: Contact information, giving history, payment details, and communication preferences. 

  • Mentors: Applications, screening results, and training records. 

  • Volunteers: Contact information, schedules, and church affiliation. 

  • Children and Families: Names, ages, addresses, and specific needs related to our Foster Pathway, Mentor Pathway, and The Landing platform. 

 

How We Collect It 

Information is collected when you: 

  • Donate, register for events, or sign up for updates 

  • Apply to be a mentor or volunteer 

  • Participate in programs or request support through The Landing 

  • Interact with CFK through forms, secure platforms, or event sign-ins 

 

How We Use Information 

We use your information to: 

  • Process donations and provide tax receipts 

  • Communicate about opportunities, updates, and events 

  • Match and support mentors and volunteers 

  • Fulfill requests for children and families through The Landing 

  • Evaluate and strengthen our programs 

We never sell your personal information. 

Opt Out: You may opt out of communications at any time by using unsubscribe links in our emails, adjusting your profile preferences in applicable systems, or emailing our team at admin@cfknc.org

 

Sharing of Information 

We may share information only when it is necessary and with your consent: 

  • Donors: Shared only in aggregate or anonymized form for reporting; never with sponsors or partners without consent. 

  • Mentors/Volunteers: Names may be shared with churches to track engagement. Mentor/youth information is shared only with consent from the youth and their social worker. 

  • Children/Families: Identifying information may be shared with trusted volunteers or partners only when needed to deliver items, mail support, or send meals — and always with consent from social workers, GALs, or the family. 

We also work with trusted service providers (such as Bloomerang, QuickBooks, Gratavid, IMS, Point, Eventbrite, Stripe/PayPal, Squarespace, and the platform hosting The Landing) who process information on our behalf under secure agreements. 

 

Special Protection for Children’s Data 

We recognize the heightened sensitivity of children’s information, especially in foster care. 

  • No identifiable photos or videos of children in foster care are ever published. 

  • All mentors, volunteers, and Landing champions must agree to a confidentiality statement. 

  • Child and family data is handled with the highest level of care and shared only when absolutely necessary for their support. 

 

The Landing: Special Considerations 

The Landing platform allows social workers, GALs, and CFK staff to request tangible needs for children and families. Because this involves sensitive child and family information, CFK applies additional safeguards: 

  • Collection: Requests are entered by DSS staff, GALs, or CFK staff. 

  • Data Types: May include child age, clothing sizes, placement-related needs, and in some cases identifying information such as names or addresses. 

  • Use: Information is used to match needs with churches, businesses, or individuals who fulfill them. It may also be used for deliveries, meal support, or event invitations. 

  • Sharing: Identifying information is shared only when required to fulfill a request (e.g., deliveries, DoorDash meal orders, or mailing items). Consent is always obtained from DSS, GALs, or the family before release. 

  • Confidentiality: All Landing champions and volunteers must agree to CFK’s confidentiality statement. 

  • Child Protection: No identifying photos of children are shared, and all data disclosures are limited to the minimum information needed to serve the family. 

  • Opt Out: Champion users may opt out of emails at any point using unsubscribe links, by adjusting profile preferences, or by emailing CFK staff directly. Requestors only receive emails related to the requests they submit. 

 

Security 

We take security seriously. 

  • All data is stored on CFK-authorized systems and password-protected devices. 

  • Two-factor authentication (2FA) is enabled where available. 

  • Staff receive regular training on data handling, confidentiality, and secure storage practices. 

  • Exports such as spreadsheets are stored only on secure, password-protected systems like Microsoft 365/SharePoint. 

 

Retention & Deletion 

We keep data only as long as it is needed to support our mission, maintain accurate records, or meet legal requirements. 

You may at any time: 

  • Request access to the information we have about you 

  • Request corrections or updates 

  • Request removal or anonymization of your personal information (where legally possible) 

To make a request, contact admin@cfknc.org. We will honor all requests promptly. 

 

Breach Response 

In the unlikely event of a data breach, CFK will: 

  • Act immediately to contain and secure affected accounts 

  • Assess what information was involved 

  • Notify all affected individuals without unreasonable delay 

  • Provide guidance on next steps to help protect your information 

 

Your Choices 

You are always in control of your information. You may opt out of communications, request updates, or ask us to remove your information at any time.
